This privacy statement (together with our website Terms of Use and any additional data privacy notices on our websites or in targeted e-mails) explains how Bristol Ventures collects and uses the personal data of our website visitors and client and business contacts. Any changes we may make to our privacy statement in the future will be posted on this page.

That’s it in a nutshell. The short of it is—we are interested in maintaining your privacy while creating valuable, robust websites, giving you the best user experience possible, and in some rare cases developing a personal relationship with you to provide you with customised services and information.

What personal data do we collect?

Each section of this privacy statement explains the types of personal data that we collect and use at our websites, and in connection with the rare volume of marketing activities undertaken.

Will we share your personal data with outside parties?

We will never sell personal data to third parties. If it is not connected with a commercial agreement or contact we only share personal data with our contracted service providers and advisors to ensure we can deliver services or products to you. However, there will be other times when we need to share or disclose personal data you provide for a specific purpose, for example:
• In the case of an event where we need to provide our caterer with meal preference information or we are running a joint event and have informed you that the data will be shared with our partners. But again, we will notify you as to why we are asking for specific information and it is completely up to you whether you want to provide it;
• We will delete your personal data prior to any event that we sell or liquidate any part of our business or assets;
• We will disclose or share your personal data to comply with any legal obligation, or to enforce or apply our Terms of Use; or to protect the rights, property, or safety of Bristol Ventures, our clients, or others.

What about sensitive personal data?

Unless you have been directed through our site to purchase a product or pay for any services rendered we do not generally seek to collect sensitive personal data through this site. We do keep the utmost care of any collated and have up to date SSL certificates to ensure your trust. In the limited cases where we do seek to collect such data, we will do this in accordance with local data privacy law requirements.

If you choose to provide us with unsolicited sensitive personal data, you will need to consent to our using the data under the General Data Protection Regulation (GDPR), subject to applicable law as described in this privacy policy. The term “sensitive personal data” refers to the various categories of personal data identified by European and other data privacy laws including GDPR as requiring special treatment, including in some circumstances the need to obtain explicit consent. These categories may include first name, last name, personal correspondence addresses including post code, personal telephone or mobile numbers, personal identity numbers, personal financial account information, racial or ethnic origin, political opinions, religious, philosophical or other similar beliefs, membership of a trade union or profession or trade association, physical or mental health, biometric or genetic data, sexual life, or criminal record (including information about suspected criminal activities). As we do business with businesses, we will only collect information about and for the purpose of fulfilling commercial interests or in the process of recruitment and as such explain here what the purpose of such data will be used for.

What about data security?

We do not intentionally collect any personal data as per our Information Security and other Policies and take appropriate steps to maintain the security of any personal data collected via Bristol Ventures’ websites. You should understand that the open nature of the Internet is such that information and personal data may flow over networks connecting you to our systems without security measures and as such may be accessed and used by people other than those for whom the data is intended. That said, Bristol Ventures, its trading brands and sister companies do not actively seek to collect or retain personal information data unless it is consented to or for any other means than relating to its use under those reasons stated here. Any application data, that may contain personal information is held on secure physical or cloud servers that are located in the UK or Europe depending on the supplier used. We will always have access to and the facility and control to delete any data, as a processor, at anytime on request by you or through our own internal audit procedures to maintain compliance with the GDPR.

Our site may, from time to time, contain links to and from the sites of our partner networks, advertisers and affiliates. If you follow a link to any of these sites, please note that these sites have their own privacy policies and that we do not accept any responsibility or liability for these policies or sites. For your own security, please check these policies before you submit any personal data to these external sites.

Where will your personal data be processed?

We have internal policies in place to ensure an equivalent level of protection is in place across our organisation in compliance with GDPR at each of our offices. As per our data security policy we have ensured our data is held securely in servers based in Europe or the UK and expect companies we are associated with to do the same.

Your rights

You are entitled to know whether we hold personal data about you and, if we do, to have access to that personal data and require it to be corrected if it is inaccurate. You can do this by using our Contact Us form.

You can consent to marketing communications to you by checking certain boxes on the forms we use to collect your personal data, or by utilising opt-in mechanisms in e-mails we may send to you. You can also exercise the right to discontinue marketing communications to you, or to have your personal data removed from our customer relationship management (CRM) databases at any time by writing to us.

The primary purpose of Bristol Ventures’ website is to be a dynamic insight resource and business tool to help you learn more about Bristol Ventures. We want you to feel secure when visiting our website and are committed to maintaining your privacy when doing so.

What information do we gather?

Bristol Ventures collects information at its websites in two ways: (1) directly (for example, when you provide information to sign up for a newsletter or register to comment on a forum website); and (2) indirectly (for example, through our website’s technology).

This includes registering to use the website, subscribing to services, newsletters and alerts, registering for a conference or requesting a white paper or further information. How do we use information that we collect from the site?

We use personal data to provide you with information you request, process online job applications where relevant, and for other purposes which we would describe to you at the point where it is collected or which will be obvious to you. For example:

Marketing

As a data processor, Bristol Ventures may use personal data of our clients and other business contacts in various ways to develop and strengthen our client and business relationships, provide information about our company, services and publications and communicate about and market our services relating to commercial interests. In general, Bristol Ventures is a business-to-business company, and does not typically market to consumers or the general public. Rather, our marketing activities are targeted to relevant individuals we identify as decision makers at current or potential client companies who have consented to receive correspondence. Sources of Marketing Data.

The bulk of the personal data we collect and use for marketing purposes relates to individuals employees of our clients and other companies with which we have an existing business relationship. We may also obtain contact information from public sources, including content made public at social media websites, to make an initial contact with a relevant individual at a client or other company.

Targeted E-mail.

We send commercial e-mails to individuals, clients or other companies with whom we want to develop or maintain a business relationship. Our targeted e-mail messages may or typically include web beacons, cookies, and similar technologies that allow us to know whether you open, read, or delete the message, and links you may click. When you click a link in a marketing e-mail you receive from Bristol Ventures, we will also use a cookie to log what pages you view and what content you download from our websites, even if you are not registered at or signed into our site.

Targeted e-mails from Bristol Ventures may include additional data privacy information, as required by applicable laws including but not limited to GDPR however we rarely send these.

Customer Relationship Management (CRM) Databases.

Like all established companies, Bristol Ventures uses customer relationship management (CRM) database technology to manage and track our marketing efforts. Our CRM databases may include personal data belonging to individuals at our client and other companies with whom we already have a business relationship or want to develop one. These individuals have ‘the right to be forgotten’.

Any personal data used for these purposes includes relevant business information, such as: contact data, publicly available information (e.g. board membership, published articles, press releases, your public posts on social media sites if relevant for business purpose), your responses to targeted e-mail (including web activity following links from our e-mails), website activity of registered users of our website, and other business information included by Bristol Ventures sales professionals or associates based on their personal interactions with you. Combining Data from Multiple Sources.

As described above, we may combine data from publicly available sources, and from our e-mail, website, and personal interactions with you. We combine this data to better understand your needs and the needs of your company, to assess the suitability of our service offerings for your needs, and to perform the other activities described throughout this privacy statement.

Recruiting
If you use Bristol Ventures’, soon to launch, online career resources, we may collect and retain personal data that you submit to the website and use it for recruiting-related purposes if you consent to do so. We may also use the same technologies we use for Marketing to provide job seekers with a personalised online experience, to send relevant information about careers and opportunities at Bristol Ventures, and to analyse the effectiveness of our recruitment efforts and resources. The Law

Data Protection has recently changed in the UK and the former Data Protection Act 1998 has been replaced.

The Data Protection Act 2018 received Royal Assent on 23 May 2018 and the EU General Data Protection Regulation 2016/679 (GDPR) came into effect on 25 May 2018.

The processing of “personal data” relating to individuals (known as “data subjects”) by organisations (known as “data controllers”) is now legally regulated as a result. For more information please see here.

Definitions

  • Personal data” means any information which relates to a living, identifiable person. It can include names, addresses, telephone numbers, email addresses etc but it is wider than that and includes any other information relating to that person or a combination of information which, if put together, means that the person can be identified.
  • Special category data” means personal data about a person’s race, ethnic origin, politics, religion, trade union membership, genetics, biometrics (where used for ID purposes), health, sex life or sexual orientation.
  • Processing” covers all activities relating to the use of personal data by an organisation, from its collection through to its storage and disposal and everything in between.
  • Data subject” means the person whose personal data is being processed.
  • Data controller” means the organisation which is responsible for processing data and ensuring that personal data is processed in accordance with data protection law – in this case Bristol Ventures.

Processing of personal data

Personal data must be processed in accordance with specific principles set out in data protection law. These include the principle that personal data should be processed ‘lawfully, fairly and in a transparent manner’.  To comply with this principle, Bristol Ventures will tell you how we will deal with your information at the time we collect it, in a “Privacy Notice”.

Bristol Ventures will have separate privacy notices for the different categories of people we process information about, (for example, for staff, event participants, visitors, and future collaborators of Bristol Ventures (for employment or consortium partnership).  These may be published in the relevant locations on our website and will also be included in the communications we sent out to individuals.

Bristol Ventures recognises the importance of people having trust and confidence in us to protect their privacy and we take great care to ensure that personal data is handled, stored and disposed of confidentially and securely.

Your rights as a data subject

You have the following rights in relation to your personal data which is processed by Bristol Ventures:

  • to access the personal   information Bristol Ventures holds about you.  This is known as a Subject Access Request and more information can be found on our site or requested from us directly.
  • to correct inaccuracies or, where appropriate and taking into account the purpose for which we process your data, the right to have incomplete data completed;
  • to have your personal data erased. This is a limited right which applies, among other circumstances, when the data is no longer required or the processing has no legal justification. There are also exceptions to this right, such as when the processing is required by law or in the public interest (e.g. when Bristol Ventures needs to retain a historical archive);
  • to object to the processing of your personal data for marketing purposes. If you ask us to delete your personal data, we will continue to maintain a core set of personal data comprising very brief information to ensure that we do not inadvertently contact you in future. We may also need to retain some financial records for statutory purposes;
  • to object to the processing of your personal data when that processing is based on specific criteria such as the public interest or other legitimate interests, unless we have compelling lawful grounds to continue;
  • to restrict the processing of your personal data. This is a limited right which will apply in specific circumstances and for a limited period;
  • to ask for the transfer of your data electronically to a third party;
  • where the legal basis for us processing your personal data is your consent, to withdraw that consent at any time.
